Compensation

All hourly student assistants at UT Dallas are compensated on a semi-monthly basis (twice per month). This usually falls on the 1st and 15th for paycheck distribution – bank holidays and weekends may affect this by 1-2 calendar days.

How do I get paid?

Student assistants must document and submit their hours worked within an electronic timesheet located in their Galaxy dashboard. After onboarding as a new student employee, a request is generated for Payroll to initiate an ePAR record for the new student hire. When all applicable data has been updated in Galaxy, the student will gain access to their timesheet link.

Supervisors are directly responsible for ensuring that their student assistants’ time has been approved before the requisite payroll deadline. If a student’s hours have not been approved by 5:00pm on the day of the payroll deadline, they will be included in the next round of payroll processing and the student will have to wait an additional pay period to receive their funds.

When can I see my timesheet?

A student must be assigned a dedicated Timesheet Manager from the hiring department in order to access their timesheet on Galaxy. This process can take up to 10-14 business days from the time a student has completed onboarding with the Student Employment Office. If the student has not received their timesheet link in Galaxy 2 weeks after completing their onboarding appointment, they should reach out to their department supervisor and copy payroll@utdallas.edu.

How much can I be paid?

The hiring managers and supervisors within departments have full discretion over the pay rates for their student assistants, however all student assistants must be offered a wage in line with state minimum wage limits ($7.25) and be compensated for all work hours committed.

Do I have to set up direct deposit? How do I do that?

All student assistants are provided the opportunity to set up direct deposit shortly after they have been onboarded. The link for direct deposit set up appears in Galaxy, usually right around the same time as the Timesheet access link, but it can vary depending on the pay cycle and time of year.

Students who elect not to set up direct deposit for receipt of funds are provided the option for check pickup. In consideration of COVID prevention measures, direct deposit is highly recommended at this time but students may pick up their physical check from the Payroll Office at SP2 12.502 (Synergy Park North 2) Monday – Friday, 9AM – 4PM. A valid photo ID is required.

What about taxes?

Earnings from an hourly student worker position are subject to applicable state and federal taxes, but not all students will fall under the same designations for the purposes of tax collection. Some students may qualify for certain exemptions or FICA, but the Student Employment Office is not able to provide individual tax filing advice. Students may submit tax-specific questions to the Office of Tax Compliance (taxcompliance@utdallas.edu).

Additionally, the International Center (ISSO) provides more specific information and resources for international students who have earned U.S. sourced income and need to file a tax return with the IRS.
